Roles and Responsibilities WeScan Coordinator and Patient Manager For WeScan and especially the scan workflow, there are two main roles: The WeScan Coordinator and the Patient Manager. In the following, Eva is the WeScan Coordinator and Robert is our Patient Manager. It is important to understand which responsibilities and qualifications are needed for which role. This is crucial for the successful integration of WeScan into the clinical routine. - WeScan Coordinator Protocol Management Setting Up Protocols: Eva is responsible for setting up and managing scanning protocols. • She works closely with radiologists and other medical professionals to ensure that the protocols meet clinical requirements. The protocols are optimized for efficiency. Continuous Improvement: She continuously reviews and updates the protocols based on • feedback and new developments in imaging technology and practices. Training and Support Training Staff: Eva trains MRI technologists and other staff members on the WeScan • workflow and the use of syngo Virtual Cockpit. This includes both initial training during the onboarding process and ongoing training as needed. Providing Support: Eva provides ongoing support to staff, addressing any questions or • issues that arise during the use of the WeScan service. She acts as a point of contact between staff and Siemens Healthineers application specialists. Monitoring Performance: Eva monitors the performance of the WeScan service, tracking • key metrics such as scan times, image quality, and patient outcomes. She uses this data to identify areas for improvement and to ensure that the service meets its goals. Communication and Collaboration Liaising with Stakeholders: Eva acts as a liaison between different stakeholders, • including radiologists, MRI technologists, patient managers, and Siemens Healthineers application specialists. She ensures that everyone understands and is kept informed about the goals and processes of the WeScan service. Facilitating Collaboration: Eva facilitates collaboration between different departments • and teams. She makes sure that the WeScan service is integrated smoothly into the overall workflow of the radiology department. Ensuring Compliance and Security Compliance: She ensures that the WeScan service complies with all relevant regulations • and standards, including those related to patient privacy and data security. Security Measures: Eva implements and monitors security measures to protect patient • data and ensure the integrity of the remote scanning process. By fulfilling these responsibilities, the WeScan coordinator plays a vital role in ensuring the success of the WeScan service, leading to improved productivity, staff competence, and patient care. Qualifications • Expertise in MRI Imaging: The WeScan coordinator should be a senior MRI technologist with extensive experience in MRI imaging. This expertise is essential for managing and optimizing scanning protocols. • Strong Organizational Skills: The WeScan coordinator must have excellent organizational skills to manage the setup and continuous management of remote scan protocols. • Training and Education Skills: The WeScan coordinator is responsible for training and educating the Patient Manager and other staff members in the WeScan workflow and related tasks. • Technical Proficiency: Familiarity with the syngo Virtual Cockpit software and other relevant technologies used in the WeScan service is important. • Communication Skills: The WeScan coordinator must have strong communication skills as they will liaise with radiologists, MRI technologists, Patient Managers, and Siemens Healthineers application specialists. • Problem-Solving Abilities: The ability to handle unforeseen events and emergencies, such as adverse reactions to contrast media, is crucial. Contrast Media Handling Administration: He handles the administration of contrast media when required for • certain MRI procedures. This involves preparing contrast media, administering them to patients, and monitoring for any adverse reactions. Storage and Management: Proper storage and management of contrast media are • essential to ensure effectiveness and safety. Robert is responsible for maintaining the inventory and ensuring that all contrast media are stored according to guidelines. Technical Support and Coordination Basic MR Scanner Handling: Robert is trained in the basic handling of MR scanners, • including positioning patients, managing coils, and operating the scanner's intercom system. Support for Remote Technologists: He works closely with remote MRI technologists, • providing on-site support as needed. This includes assisting with patient positioning and ensuring that the remote technologist has all the necessary information to conduct the scan. Workflow and Protocol Management Following Protocols: He follows established protocols for MRI scans, ensuring that each • scan is conducted according to the specific requirements of the WeScan service. Collaboration with WeScan Coordinator: Robert collaborates with the WeScan • Coordinator to ensure that all protocols are up to date and that any changes are communicated effectively to the team. Emergency Response Handling Emergencies: In the event of an emergency, such as an adverse reaction to • contrast media, Robert is trained to respond quickly and effectively. This includes providing immediate care and coordinating with other medical staff to ensure patient safety. This helps in understanding the technical aspects of MRI scans and working effectively with MRI technologists. • Technical Proficiency: Familiarity with MRI scanners and related software, such as syngo Virtual Cockpit, is important. The Patient Manager should be comfortable handling basic technical tasks and troubleshooting minor issues. • Strong Communication Skills: Excellent communication skills are essential for interacting with patients, explaining procedures, and addressing any concerns they may have.
