Areas of the screen: Search and Filters – can be displayed or hidden by selecting the arrow at the top of the screen Orders – displays the status and result(s) for each order If the test is in process, the remaining time to result will display When a test order results, the result and any applicable result flags will display Sample and Test functions – used to perform various functions on selected orders, including adding a test, ordering a repeat, and printing barcodes General functions – used to query the LIS, import a worklist, generate a statistics report, and export test results Load Samples To load samples on the Direct Load: Place sample containers in the appropriate type of rack using an adaptor if needed. Ensure all sample containers are fully seated to the bottom of the rack. For routine samples, load the sample rack in the entry queue. The Direct Load will automatically move the rack forward for processing. Load racks with STAT samples in the front of the entry queue, so they will be processed before the other racks in the entry queue. To unload sample racks, remove sample racks after the racks enter the exit queue. Do not allow more than 9 racks in the exit queue Order Patient Tests To create a patient order manually: Navigate to Patient Orders Scan the sample tube barcode or manually enter a Sample ID For non-barcoded tubes, enter the Rack ID Select the specimen type from the Specimen Type list If applicable, enter the following information: Manual Dilution factor For Study checkbox Priority More Sample Information If applicable, enter patient demographics Select Add Tests On the Add/Edit Tests screen, select the appropriate tests and/or panels and then select Add Tests Make any edits to the tests ordered, dilution, replicates, or reagent lot on which the tests will be run Select Place Order Check Sample Status Sample Interventions and STATs Tiles When the tile is green, it means there aren’t any samples that need your attention When the tile is red, it means that one or more samples need attention Selecting the tiles opens the Sample Interventions / STATs screens Provides additional details such as time of the error and time the sample has been onboard Samples area From the Home screen you can view the sample status of the samples that have been loaded into the in process queue, and samples in the last 10 racks to have completed processing The shape and color of the circles describes the status of the samples Selecting a rack provides more detailed information Disclaimer Please note that the learning material is for training purposes only. Overfilling sample containers may cause splashing while the container moves in the entry and exit queues. The racks come in different colors. The lab can use the colors to organize tubes as desired. There is a configuration setting that can be used to configure specific rack colors for certain container types. Refer to Online Help for more information. Load Samples To load samples, first place sample tubes in the appropriate sample rack. The system supports both barcoded and non-barcoded tubes. Sample containers with caps are not supported. Refer to Online Help for more information on the adaptors and a complete list of the supported sample containers. Load Samples The default tube size is 16x100 millimeters. Adaptors are used to support shorter and smaller diameter tubes. If the tube requires an adaptor, ensure the correct size adaptor is used and verify that the adaptor is fully seated in the rack. Load Samples Tube top cups are automatically detected when placed on top of supported tubes. For more information on using tube-top sample cups and capillary tubes, refer to the Managing Small Samples Workflow on the Atellica Solution training. Load Samples Capillary tubes must be placed in the appropriate capillary tube holder. Load Samples Load the sample rack in the entry queue. The Direct Load will automatically move the sample rack forward for processing. Load Samples Load racks with STAT samples in the front of the entry queue, so they will be processed before the other racks in the entry queue. Now YOU know! As we discussed earlier, from the Home screen you can view the sample status of the samples that have been loaded into the in process queue, and samples in the last 10 racks to have completed processing. Let’s explore the additional information you can view by clicking on the sample racks. Select the 1st inprocess sample rack to continue. Refer to Online Help for a complete list of the symbols for samples. Select the sample in position 5 How - Samples Area Here we see the expanded view of the Rack Overview screen. The Sample ID and sample status are displayed for each sample in the selected rack. The information will be dynamically updated as it changes. The shape and color of the circles describe the status of the sample. For example, patient samples are shown as circles and QC and calibration samples are shown as squares. You can refer to Online Help for a complete list of sample symbols. To view details for samples in a different rack, select the rack from the right side of the screen. Let’s select one of the samples to view additional information. Select the sample in position 5 to continue. Select the View/Edit button How - Samples Area Now we can see any additional information the system has available for the selected sample. To view the status of the tests ordered on the sample, select the View Edit button. Select View / Edit to continue. Now YOU know! Select the X to continue How - Samples Area Here we see an example of the Patient Sample Details screen, where you can see the test orders and results for that sample. If you select a result, on the right there are options to order repeats, view QC Statistics, add results, and add comments. Now you know! Select the X to continue. How - Samples Tiles Select the STATs tile How - Samples Tiles Let’s look at how to check sample status using the tiles area of the home screen. In the example shown here, you will see that both the STATs and the Sample Interventions tiles are red. We’ll first take a look at why the STATs tile is red. Select the STATs tile. Select the STATs tile to continue. Select the Ignore button How - Samples Tiles We are now in the STATs screen. This screen can be used to monitor all STATs on the system. The information provided includes the time a sample went into an error status and how long a sample has been on the system, which can be helpful in troubleshooting. You can acknowledge the alert for the STAT needing attention by selecting the Ignore button. If all STAT samples needing intervention are ignored, the STATs tile will turn from red to green. Select the Ignore button to continue. Select STATs Samples Inprocess How - Samples Tiles Selecting the Ignore button, changes the button to Undo. If you want the red alert on the tile to come back, you would select the Undo button. If it is a sample that cannot be fixed, it can be moved to historical from the Worklist screen. You can see that this view is STAT Samples Needing Intervention. There is also another view in this screen called STAT Samples In process. It is at the bottom of the screen. Let’s expand this. Select STATs Samples Inprocess to continue. Select the Home button How - Samples Tiles Now, here we see STAT Samples in Process. The information provided includes the sample ID, tests, time to completion, time on system and the location. Now let’s go back to the Home screen to look at the Sample Interventions tile. Select the Home button to continue. Select the Sample Interventions tile How - Samples Tiles Select the Sample Interventions tile. Select the Sample Interventions tile to continue. Select the sample entry How - Samples Tiles Here is the Sample Interventions screen. Similar to the STATs screen, this screen provides information on the time a sample went into an error status and how long a sample has been on the instrument. We can see that the sample has been on the system for fifteen minutes and the error occurred at 2:48 pm. We can expand the row to learn more. Select the sample entry to continue. How - Samples Tiles After expanding the row,there is now more information on the errors for each impacted test. Samples will be removed from this screen after the issue is resolved or if the sample is removed from the system. Also, it is important to note that you can always see Calibrations and QC Needing Interventions. As a reminder, there are related buttons on the bottom of the screen. These buttons will take you directly to another screen, for example the Worklist screen, without going back to the home page. Now YOU know! Select the X to continue How - Samples Tiles Once all the STAT samples have completed and all sample interventions have been addressed, the items will no longer display on the Needs screen, and the status color at the top of the Needs tiles will change from red to green. Now you know! Select the X to continue. When - Check Sample Status When - Check Sample Status To determine when to check the sample status, look at the STATs and Sample Interventions tiles on the home screen. When the tiles are green, it means there aren’t any samples that require your attention. When - Check Sample Status When samples should be checked, the tile will alert you by turning red. The STATs tile will turn red if one or more STAT samples needs your attention, and the Sample Interventions tile will turn red if at least one routine patient, calibration, or QC samples requires intervention. When - Check Sample Status In addition to the tiles, sample status can also be checked in the sample area. The display represents displays the status of samples that are in the inprocess racks and the last 10 racks to have completed processing. Selecting the Clear All Racks button will delete all processed racks from this display. Processed racks display even if a rack is physically removed from the exit queue, until a rack is deleted from the screen. Conversely, a rack can be deleted from the screen yet still be physically in the exit queue. Each dot represents a sample, with green dots indicating that no intervention is needed, and yellow or red dots indicating a sample issue that should be addressed. Now you know! Review Order Status Select the Worklist tile Review Order Status To review order status and results, navigate to the Worklist screen by selecting the Worklist tile. Select the Worklist tile to continue. Review Order Status The Worklist screen can be used to view the status of all samples processed by the system, including ordered, in-process, and completed tests. On the left side of the screen, there are options for searching and filtering the information displayed. If you scan or type a sample ID into the search field, the information for that sample will be displayed. Select the Tests button Review Order Status The View By option allows you to select whether to view the data by samples or tests. Select the Tests button to continue. Select the Samples button Review Order Status As we see here, if Tests is selected, each line is a different test order. Select the Samples button to continue. Select the arrow for SID Sample32 Review Order Status If Samples is selected, each line is a different sample ID. Within the Samples view, to see the individual test orders for a sample, select the arrow for that sample. Select the arrow for SID Sample32 to continue. Select the Advanced button Review Order Status In the Filters section, there are options for Basic or Advanced filtering. Under Basic filtering, there are options to select the filters such as order time, priority, and test. Let’s now take a look at the options for Advanced filters. Select the Advanced button to continue. Select the Advanced Filters button Review Order Status Select Advanced Filters to view the options. Select the Advance Filters button to continue. Select the Close button Review Order Status On the Advanced Filters screen, there are several filters that can be applied, including status, tests, and date. The Save option allows you to save the filter settings to have quick access in the future. Select the Close button to continue. Select the arrow to hide the Search and Filters Review Order Status If you save a filter, it will appear in the Saved Filters dropdown list, to allow you to select it in the future. The Worklist screen includes an option to not display the search and filter area of the screen, to allow for additional columns of data to be displayed. Select the arrow to continue. The fields assigned to each column will depend on how your system has been configured. Select the arrow to show the Search and Filters Review Order Status Additional columns of data are now displayed. Let’s go back to the view that displays the Search and Filter options. Select the arrow to continue. Select the 2 button Review Order Status In the main area of the screen, the status displays for each order. When a test order results, the result and any applicable flags will display. To view additional orders, select the numbered pages at the bottom of the screen. Select the 2 button to continue. Select the hourglass Review Order Status If a test is in progress, the remaining time to result will display. The orders can be sorted by selecting a column header. To see a list of what the symbols for each order mean, select one of the symbols. Select the hourglass to continue. Review Order Status We now see a list of the meaning of the sample status symbols. Select the checkbox for SID Sample32 Review Order Status There are a list of options on the right that can be applied to selected orders. Let’s take a look at some of these options. Select a sample to activate the options. Select the checkbox for SID Sample32 to continue. Select the Edit/View button Review Order Status The first option, Edit View, will display additional details for the sample. Select the Edit View button. Select the Edit/View button to continue. Select the Sample & Patient Info tab Review Order Status Here we see an example of the Patient Sample Details screen. This is the same screen that we saw earlier can also be accessed from the Rack Overview screen. On the Patient Test Data tab, you can see all the results for that sample. And if you select a result, on the right there are options to order repeats, view QC Statistics, add results, and add comments. Let’s take a look at the other tab available on this screen – Sample and Patient Info. Select the Sample & Patient Info tab to continue. Select the Close button Review Order Status On the Sample and Patient Info tab, you can see the details that are available for the sample and patient. Select the close button to continue. Select the X to continue Review Order Status There are several additional options that can be applied to a selected order, including ordering a repeat, accepting a result, and printing sample barcodes. And there are additional general functions at the bottom of the screen that can be used to perform tasks such as querying the LIS and importing a worklist. Now you know! Select the X to continue. Order Patient Tests Select the Navigator button Order Patient Tests To manually order patient tests, first navigate to the Patient Orders screen. One way to do this is to use the Navigator. Select the Navigator button in the toolbar. Select the Navigator button to continue. Select Patient Orders Order Patient Tests On the Navigator screen, select Patient Orders Select Patient Orders to continue. Scanning the barcode will automatically activate the entry fields. To advance to any field, select the field or select Tab on the keyboard Order Patient Tests On the Patient Orders screen, there is an option to order by Sample ID or by Rack ID. If Rack ID is selected, then entering a Rack ID will be required. To start creating the order, first enter the Sample ID by either scanning the sample tube barcode or manually enter the ID. Order Patient Tests For non-barcoded tubes, enter the Rack ID by either scanning the sample rack barcode or manually entering the Rack ID. Following the Rack ID number, enter the number for the tube position in the rack. Here is an example, we see the Rack ID has been scanned and 2 has been entered for the tube position. Select Specimen Type Order Patient Tests Select the specimen type from the Specimen Type list. Select Specimen Type to continue. Select Serum Order Patient Tests For this example, select Serum. Select Serum to continue. Order Patient Tests The next group of options can be entered if applicable. If the sample is manually diluted, enter the manual dilution factor. Select Replace Item to continue. Select Priority Order Patient Tests Select the Priority field to view the options. Select Priority to continue. Select Routine Order Patient Tests This is where you can assign a sample to be a STAT. STAT samples have the highest priority, followed by ASAP samples, and then routine samples. The priority is included in information sent to the LIS. For this example, select Routine. Select Routine to continue. Order Patient Tests If the For Study checkbox is selected, the result will transmit to the LIS only if the operator manually selects to transmit. Select Replace Item to continue. Select More Sample Information Order Patient Tests Select More Sample Information to view the options. Select More Sample Information to continue. Select OK Order Patient Tests Here is where you can enter additional information about the sample, including the collection date, the received date, and any comments. Select OK. For non-barcoded tubes, Rack ID and Specimen type are the required Sample Information fields. Order Patient Tests For the sample and patient information that we discussed, the only required fields are Sample ID and Specimen type. Select Add Tests Order Patient Tests The next step is to add the test orders. Select Add Tests. Select Add Tests to continue. Select AFP Order Patient Tests Here you can filter by Assay Type or search for tests. You can select individual tests, test panels, or dilution panels. For this example, select AFP. Select AFP to continue. Select Add Tests Order Patient Tests Select Add Tests. Select Add Tests to continue. Select the Dilution field Order Patient Tests The test orders will display on the screen. Select the Dilution field to view the options for onboard dilution factors. Select the Dilution field to continue. Order Patient Tests The options for onboard dilutions for this assay display. The CH analyzer does not accept replicate tests on patient orders. The mean result for the IM tests will be reported on the Worklist. Each replicate result is shown in the Details screen and will be sent to the LIS as a "Preliminary" result if configured to send "Additional Data“. Order Patient Tests Use the replicates field to change the number of replicates for that order, for IM tests. Replicate tests process simultaneously with the same specified dilution. The system uses replicate test results to obtain a statistical mean result. Select Edit System Test Definitions Order Patient Tests Select the Edit System Test Options button to specify the reagent lot, or specific reagent, on which the order will be run. Select Edit System Test Definitions to continue. Select OK If you don’t specify the materials, the system will use an algorithm to determine which materials will process the order. Order Patient Tests Here we see the test options that can be specified, if desired. Select OK to continue. Select OK to continue. The individual test results will be reported separately on the Worklist. The system does not automatically report a mean result. Order Patient Tests The + icon can be used to create multiple orders of the test. Multiple tests process simultaneously with the same specified dilution. When adding a test more than once to the same order, the operator can run the same test on different modules, reagent lots or packs. This option provides additional result choices. Order Patient Tests The X icon is used to delete tests. Select Place Order Order Patient Tests Once all the tests are ordered and all the desired options are selected, select Place Order to create the order in the Worklist. Select Place Order to continue. Now YOU know! Select the X to continue Order Patient Tests A confirmation message will display that the order was placed successfully. There is an option here to print the barcode for this sample.
