
My Planned Workflow with POCcelerator™ Data Management System
This example workflow focuses on planned tasks that can be performed using POCcelerator™ Web. Tasks include: Adding and managing operators, changing the location of a device, documenting maintenance activities, and running reports.

I have just mastered our lab’s daily workflow with the POCcelerator Data Management System and I think I’m ready to take on more training. Sara do you think you could train me on our labs more infrequent or scheduled tasks? Sara – Absolutely, I think you're ready for some more training! Let’s head into the classroom to begin. Planned Workflow: 1. Add and manage operators 2. Change the location of a device 3. Document maintenance tasks 4. Run reports Planned Workflow Checklist poccelerator_plannedworkflow_checklist.mp3 So let’s take a look at our Planned Workflow checklist. Unlike the Daily Workflow, we will not be performing these tasks on a daily basis. These tasks are more infrequent and will be handled on a scheduled timeframe or an as needed basis, hence the title Planned Workflow. The Planned Workflow checklist contains the following items: Add and manage operators. Change the location of a device. Document maintenance tasks. And run reports. Similar to the Daily Workflow checklist, we will perform these tasks in POCcelerator Web. Now let’s head to the lab for some practice. Checklist item 1 Add and manage operators #1 Add and manage operators Select Operator. Blank poccelerator_plannedworkflow_operator_1.mp3 Pop quiz #1 of the day. Why are we on this screen? Shamus – Hmmm. Is the Dashboard POCcelerator Web’s default screen? Correct! Any time you log in to POCcelerator Web, you will be brought to the Dashboard. So now for our first task of the Planned Workflow, Add and manage operators, which tab in the Menu bar do you think we should select? Shamus – Well that’s an easy one, Operator! Right again! To begin let’s navigate to Operator, then User administration to get to the User administration screen. Please select Operator to continue. Select User administration. Blank Please select User administration to continue. Select User bulk entry. Blank poccelerator_plannedworkflow_operator_2.mp3 Now there are a few ways to create a new user using POCcelerator Web. Our lab prefers to add users using the User bulk entry feature, but you can also add a single user via the New user button or import users from Active Directory. Let’s select the User bulk entry button, so we can practice adding a user. Please select User bulk entry to continue. Select the Authorisation dropdown. Blank poccelerator_plannedworkflow_operator_3.mp3 Now here is why we prefer creating users via User bulk entry. In the Models section, POCcelerator Web displays all model types that have been added to the application, making it easier to assign model rights to a user. Additionally, you can select the checkbox in the table header to assign all model rights to the user. In the next column, we can assign a user group for the respective model. Or assign a user group for the POCcelerator Web application using the Authorisation dropdown. In this case, we will make our example user a standard user of POCcelerator Web. Select the Authorisation dropdown and then select Device User. Please select the Authorisation dropdown to continue. Select Device User. Blank Please select Device User to continue. Enter 11/12/2023. Type Here 11/12/2023 11/12/2023 Blank poccelerator_plannedworkflow_operator_4.mp3 Then, we can set the expiration dates for the individual model rights in the Expiration column. Or change the expiration date for all selected models using the Set all expiration dates to field. Let’s just have all selected models expire in 6 months for our test user. Type 11/12/2023 into the Set all expiration dates to field. And then, select the green checkmark to confirm. Please enter 11/12/2023 to continue. Select the green checkmark. In the Wards section, we have access to the Location Tree, making it easier to assign user ward assignments. This is yet another reason why our lab prefers the User bulk entry feature. Let’s assign our example user to the Emergency department, which automatically assigns them to all wards listed under that department. Finally, we need to enter our user’s information in the table below. In this case we are only adding one operator. But here is where you could define how many users you wanted to create, and the appropriate number of rows would be populated in the table below. Once all the new users’ details have been entered, select Save. Please select Save to continue. Congratulations! You have successfully added and managed operators. Blank poccelerator_plannedworkflow_devices_1.mp3 Now let’s discuss step 2 of our planned workflow checklist. Change the location of a device. To begin, we must navigate to the Device manager screen by selecting Devices and then Device manager. Please select Devices to continue. Select Device manager. Blank poccelerator_plannedworkflow_devices_2.mp3 The device manager screen allows you to manage devices by assigning a device to another ward, deactivating a device or deleting a device. Please note that online devices should not be manually created, but can be modified here. To change the location of a device we need to first locate the device. We can use the filters at the top of the screen to search for the device by location, device type, or device ID. Additionally, we can use the table filters to view All devices, only active devices, or only inactive devices. Once your device has been located, you must select the Device name or Details to view additional device properties. Select device name ABL 715 - NICU. Please select ABL 715 - NICU to continue. Select the green checkmark. Blank poccelerator_plannedworkflow_devices_3.mp3 In the Location area, you can then use the Hospital, Department, and Ward dropdowns to change the location of this device. We will move the device from the NICU ward in the Maternity Department to Room 1 of the Emergency Department. Then, select the green checkmark to confirm your input. The active device is then automatically deactivated, and then reactivated, once the location change is complete. Please select the green checkmark to continue. Congratulations! You have successfully changed the location of a device. To try the activity again select Retry, or select Next to continue the training. Select the Record icon. Blank poccelerator_plannedworkflow_maintenance_2.mp3 The Maintenance recording screen allows you to record due, overdue, missing, and as required tasks. Here you can utilize the filters at the top of the screen to search for tasks in a specific range of time, tasks assigned to a specific device model, or by the task type. In the Resolved status field, you want to verify that Not resolve is selected. Then, once the desired task has been located, you must select the task’s record icon. Let’s practice by selecting the first task, Replace Batteries in ER Room 1’s record icon. Please select the Record icon to continue. Select Save. Blank poccelerator_plannedworkflow_maintenance_3.mp3 From the Maintenance recording window, you can enter a comment and/or materials used information, if required. But a comment must be entered for missed tasks. Then, select Save to record the task. Please select Save to continue. Congratulations! You have successfully documented maintenance. Blank poccelerator_plannedworkflow_reports_1.mp3 And finally, let’s talk about the last Planned Workflow task. Run reports. Let’s start with exporting QC measurements from POCcelerator Web. This can be done from the QC monitor screen. To generate a filtered QC measurement report, we must begin with filtering the QC measurements using the simple and/or advanced filters. Then, we can select a printing option. POCcelerator Web has two printing options. Print by device to create a QC report grouped by device. Or Print by model to create a QC report grouped by device model. Let’s select Print by device. Please select Print by device to continue. Blank poccelerator_plannedworkflow_reports_2.mp3 A report is then generated in a separate dialog window of your web browser where you have the option to print or save the report. Select Export. Blank poccelerator_plannedworkflow_reports_3.mp3 Now, to print patient results, we must start from the Patient result monitor. Using the filters at the top of the screen, we can search for a specific set of patient results. In this case, we will filter for patient results ran on the epoc in Room 3 of the Emergency Department during May of 2023. To print a selected set of results, select one or more result checkboxes and then select export. Or print all the displayed results by only selecting the Export button. Let’s print all the results by just selecting Export. Please select Export to continue. Blank poccelerator_plannedworkflow_reports_4.mp3 An .xml file is then saved to your computer. Open the file in Microsoft Excel to take advantage of the formatted data to organize and filter the data using the column header filters. Blank poccelerator_plannedworkflow_reports_5.mp3 Finally, to print other data records in POCcelerator Web, like maintenance records, operator certification records, or linearity results, just to name a few, we must use the Export button. You can select Export to generate a report for all data records shown in a table. Or select one or more data records in a table, then select Export to generate a report consisting of only the chosen records. A file is then created which can be saved to your computer. Congratulations! You have successfully ran a report. To try the activity again select Retry, or select Next to continue the training. To add an operator you must navigate to the User administration screen. Select the User bulk entry button. Assign the new operator model rights, ward assignments, and a user group. Type the number of users to be added, so the appropriate number of empty rows are populated in the table and select the add new users button. Enter the operator’s details and select Save. To change the location of a device you must navigate to the Device manager screen. Utilize the filter settings, if necessary. Select the device record’s Details button to view additional device properties. Utilize the dropdown lists to change the device’s location assignment. And select the green checkbox to confirm your input. To document maintenance tasks you need to navigate to the Maintenance recording screen. Utilize the filter settings, if necessary, and verify the Resolved status field is set to Not resolved. Select the task’s Record icon and in the Maintenance recording popup window enter a comment and material used information, if required. And select Save. And finally, to generate a patient results report navigate to the Patient result monitor. Utilize the Range of time and filter settings, if necessary. And select Export to generate a report. To generate a QC measurements report navigate to the QC monitor. Utilize the simple and/or advanced filter settings, if necessary. And select a printing option: Print by device or Print by model to generate a report to be printed or saved. To print other data records in POCcelerator Web, navigate to the appropriate screen. Utilize the filter settings to view the desired data to be exported. And select the Export button to generate a report to be saved as a file to your computer.
