This example workflow focuses on daily tasks that can be performed using POCcelerator™ Web. Tasks include: Monitor the status of devices, review QC results and incomplete QC results, review patient results, and check for pending and expired operator certifications.

I am a Point of Care Coordinator and have the responsibility for training others in my Point of Care lab on the POCcelerator Data Management System. One of the new hires recently asked me how I work with the system to complete my day to day tasks. I am going to show you how my lab uses POCcelerator Web to ensure all Point of Care testing is running accurately and operators are working efficiently. Daily Workflow: Shamus – New Point of Care Coordinator 1. Monitor the status of devices 2. Review QC results and incomplete QC results 3. Review patient results 4. Check for pending and expired operator certifications Daily Workflow Checklist poccelerator_dailyworkflow_checklist.mp3 Good morning. Back at work again and I’m here with my new colleague Shamus. Shamus is our newest Point of Care Coordinator and needs to learn our lab’s daily workflow with POCcelerator Data Management System. For an easy to use user interface and a great dashboard, our lab prefers to work in POCcelerator Web. Once logged in, we follow our daily workflow checklist. First we monitor the status of devices using the Dashboard. Then, we review QC results and address any incomplete QC results. We review patient results. And finally, we check for any pending and/or expired operator certifications. With all that said, let’s head to the lab and begin our day. Checklist item 1 Monitor the status of devices #1 Monitor the status of devices Select the Red filter tab. Blank poccelerator_dailyworkflow_dashboard_1.mp3 So let me show you how to monitor the status of devices. Here you can see the Dashboard. The Dashboard provides a good overview of our active devices and has buttons that allow us to quickly switch between POCcelerator Web screens so we can troubleshoot and resolve any device errors. Shamus – Wow, it looks like we’ve got a lot of devices to review today! Yes, the All devices view displays a lot of information, so I like to filter the Dashboard to only see devices with errors. To do that, I select the red filter tab. Please select the Red filter tab to continue. Select the Location filter dropdown. Blank poccelerator_dailyworkflow_dashboard_2.mp3 Additionally, if there are a lot of errors to resolve that day, I will use the Location filter to view device errors by ward. Let’s see what’s going on in the Emergency Department Room 2. Please select the Location filter dropdown to continue. Select Emergency Department; Room 2. Blank Please select Emergency Department; Room 2 to continue. Blank poccelerator_dailyworkflow_dashboard_3.mp3 Now we only have 3 devices with errors. Shamus – This is so much easier to view now! Right! The Clinitek Status and 2 RapidPoint 500 devices all have QC frequency errors. This means a QC measurement was not taken during the required time frame. We might need to follow up with staff in the ER to make sure they are performing QC at the right intervals. Now the RapidPoint 500 01051 device has additional errors that we need to look into. The QC status column is red, so at least one QC result is out of range. Let’s hover over the red bar to see more details. As you can see, pH is out for QC Level 1 and Level 2 and will need to be addressed. Finally, the Incomplete QC column is red, meaning there are QC results with incomplete data. Let’s hover over this red bar to see which analyte is incomplete. Here there are 5 incomplete QC results for lactic acid that will need to be further investigated. So looking at the Dashboard, you can see we’ve got a lot to do today. Shamus – I agree! Congratulations! You have successfully monitored the status of devices. To try the activity again select Retry, or select Next to continue the training. Retry Next Congratulations Checklist item 2 Review QC results and incomplete QC results #2 Review QC results and incomplete QC results Select the Red filter tab. Blank poccelerator_dailyworkflow_reviewqc_1.mp3 Now let’s talk about Step 2 in our daily checklist: Review QC results and incomplete QC results. The QC monitor can be found by selecting the QC tab and then selecting QC monitor. Just like the Dashboard, the QC monitor contains a lot of information, but again we will use the filters to display exactly what we are looking for. Using the filters at the top of the screen, we can review QC by a specific ward, model, device number, or even specific set of days. Or we can use the advanced filter settings to view QC by a specific date range, QC level, QC lot, analyte, or sample type. But for now, let’s just look at today’s QC results. In the table below, we can see all QC measurements. Shamus – That yellow status bar is a new one! What does the yellow color mean? Good catch! Yellow colored bars indicate results with an added comment. Plus they can be found on the Dashboard too! Here I like to filter the QC results, so I only see uncommented QC violations. This can be done by selecting the red filter tab. Please select the Red filter tab to continue. Select Details. Blank poccelerator_dailyworkflow_reviewqc_2.mp3 Now there are 18 uncommented QC violations that need to be addressed. In this example it looks like the QC violations are coming from QC level 2 on the i-STAT device 300292 in Emergency Department Room 1. Let’s select the Details button to view more information about one of the measurements. Please select Details to continue. Select the green checkbox. Blank poccelerator_dailyworkflow_reviewqc_3.mp3 Looking at the result, we can see a 4.13 mmol/L potassium result outside the manufacturer limits, and looking at the operator comment, it seems the operator ran the wrong QC level. Now we can add a lab comment either using the dropdown list or we can manually type a comment. Additionally, a QC measurement can be released by selecting the Released checkbox. In this case, let’s just add our own lab comment ‘Reviewed’ and select the green checkbox as confirmation. Please select the green checkbox to continue. Select the Incomplete QC measurements tab. Blank poccelerator_dailyworkflow_reviewqc_4.mp3 Shamus – Now why do we not see the result with a yellow colored bar? Remember, we currently have the red filter tab applied, so we only see uncommented QC violations. If we selected All measurements or the yellow filter tab we would see the i-STAT potassium QC result with a yellow colored bar. To finish reviewing these QC results, we would repeat the process of selecting Details, reviewing the QC result, adding a lab comment, and confirming our input for each result. Now, let’s select the Incomplete QC measurements tab on the QC monitor, so we can discuss part 2 of our task which is Review incomplete QC results. Please select the Incomplete QC measurements tab to continue. Select Modify. Blank poccelerator_dailyworkflow_incompleteqc_1.mp3 The Incomplete QC Measurement table displays any incomplete measured values from online connected devices and like the All QC measurements table, you can use the filters above to search for desired measurements. To edit an incomplete QC measurement, start by selecting the Modify button. Please select Modify to continue. Select the User field dropdown. Blank poccelerator_dailyworkflow_incompleteqc_2.mp3 Here you can review the incomplete QC measurement and see what information is missing from the data record. In this example the User ID is missing. We need to add a user ID to the User field. Select the User field dropdown box, so we can find the correct user. Then, select the user Siemens Healthineers, ID 1000. Please select the User field dropdown to continue. Select Healthineers, Siemens (1000). Blank Please select Healthineers, Siemens (1000) to continue. Select the green checkbox. Again, to review all incomplete QC results, we would repeat the process of selecting Modify, editing the QC measurement to address the missing information, and selecting the green checkbox. Shamus – It says here that checklist item 3 is Review patient results. If I had to guess I would say we are now heading to the Patient tab. Exactly! Congratulations! Blank poccelerator_dailyworkflow_patient_1.mp3 To review patient results we must first go to the Patient result monitor. We do that by selecting Patient, then Result monitor. Here you can see we have Range of time and many additional filters that can be used to narrow down our search. For now let’s look at today’s data and let’s select the Measurement errors tab to see which patient results need to be reviewed. Please select the Measurement errors tab to continue. Select the expand icon. Blank poccelerator_dailyworkflow_patient_2.mp3 Then, let’s select the second record’s expand icon to view more result information. Please select the expand icon to continue. Blank poccelerator_dailyworkflow_patient_3.mp3 Now we can see the analytes and individual results associated with the measurement record. Additionally, we can hover over any red Technical or Transmission errors to see a description of the error. In this case, the technical error was a missing reagent lot number. We can also hover over any checkmarks in the Comments column to see operator comments and further investigate. Here we see the operator reran QC with a new lot. To resolve these errors, or any technical or transmission errors, it will need to be done in POCcelerator Client’s Result Monitor. Congratulations! You have successfully reviewed patient results. To do that we must navigate to the Operator certifications monitor by selecting Operator, then Certifications monitor. Here we can view certification information for operators assigned to your locations and device models. To search for any expired operator certifications, we can use the Expired in last (months) filter. In this example let’s see which operator certifications expired in the last 4 months. Enter 4 into the Expired in last (months) field. Please enter 4 to continue. Enter 1. Type Here 1 1 Blank poccelerator_dailyworkflow_operator_2.mp3 Shamus – It looks like we have a few expired certifications to investigate today. Yes! And let’s also utilize the Expiring in (months) filter to see which certification records are going to expire next month. Let’s enter 1 into the field. Please enter 1 to continue. Blank poccelerator_dailyworkflow_operator_3.mp3 It looks like we have a few operator certifications that are about to expire. Good thing we have training sessions coming up! Finally, we can use the Export button to create an XML file of all the certification records displayed. We can use this for reference, so we know exactly who we need to train and on what device, to help us avoid any future expired certifications. Shamus – Sounds like we have a good plan! In the table, review the results and hover over the red QC status and incomplete QC tabs to view additional measurement information. And utilize the Pat and QC Monitor buttons and/or device name hyperlinks to navigate to the appropriate screens to address any errors. To review QC results you must navigate to the QC monitor screen. Utilize the simple and/or advanced filter settings, if necessary. Verify the All QC measurements tab is selected. Select the red filter tab. Select Details to view additional QC measurement information. Enter a lab comment, if necessary. And select the green checkbox to confirm your input. Then repeat steps 5-7 to acknowledge all uncommented QC violations. To review incomplete QC results you must also use the QC monitor screen. Utilize the simple and/or advanced filter settings, if necessary. Select the Incomplete QC measurements tab. Select a record’s Modify button to view additional QC measurement information. Edit the QC measurement to address the missing information. And select the green checkbox to confirm your input. Then repeat steps 4-6 to edit and complete all incomplete QC results. To review patient results you need to navigate to the Patient result monitor. Utilize the range of time and additional filter settings, if necessary. Select the Measurement errors tab. Select a record’s expand icon to view additional result information. Hover over the technical errors, transmission, and comments columns to view additional information. And note that transmission and technical errors must be resolved in POCcelerator Client. And finally, to check for pending and expired operator certifications use the Operator certifications monitor. Use the Expiring in (months) field, to search for soon to expire operators and use the Expired in last (months) field to search for expired operators. Select a record’s expand icon to view additional certification details. Add a comment, if applicable. And select the green checkbox to confirm your input.
