
Managing Add-On Tests Workflow on the Atellica® Solution

Welcome Welcome to the Managing Add-On Tests Workflow on the Atellica® Solution. A part of our day in the life of the lab series. This training is specific to Sample Handler configurations Blank Hi, it’s me Sandy. I am an experienced user and I have responsibility for training others in my lab on the Atellica Solution. One of the new hires recently asked me how do we best manage our add-on tests on the Atellica Solution? I am going to show you how I train people in my lab on the proper procedure so we can continue to process samples efficiently. I like to make sure everyone uses the same steps. Scenario One Additional tests that need to be added to an order from a day or two ago. Blank The first real life scenario I would like to discuss is a recent request that came thru our lab, from Dr. Hunter, for additional tests that need to be added on to an order from a day or two ago. I would like to take a moment and explain how we located the sample from our refrigerator and the workflow that we followed to add on the new tests. Blank 4a: Hi Sandy how are you today. This is Dr. Hunter; my office recently sent a request to run a few more tests on one of our patient’s samples. Will you be able to get to those today? 4b: Sure, that will not be a problem. Blank This presents a great example for my new hires. Since we are using archive racks in my lab, I can use the Atellica Solution software to find the tube location. We start out on the home screen and select the quick find icon in the tool bar. Blank In the search screen we will search by the patient’s name that Dr. Hunter had given us. We make sure to click on historical results since the sample was from a few days ago. Then we select the search button. Blank You can select the Location heading on this screen, and then you can see the rack id that we need to look for, which is a six digit number as shown, and also the tubes position within that rack, which is C9. I now have what I need. Refer to Online Help for more information about assigning rack labels. Blank I almost forgot, another feature that my lab really likes is that we can assign the archive racks their own friendly name, for example fridge one. In my lab, we have named our racks in such a way that the Rack ID indicates the storage location in our lab. This way we know exactly where to go to find the rack. You can get to the screen I’m showing by using the navigator to locate the SH & Sorting Configuration screen and selecting Rack Processing. Then select the view or edit button. From here, you can assign a custom label to your racks, but I would suggest referring to online help to go over the procedure for assigning these rack labels. Locate by: Rack ID Tube Position When performing add on tests make sure you have enough sample volume. Blank So, now, with tablet in hand, I can go to the storage location in my lab. Locate the rack by the Rack ID and find the tube by its position. It is important that I check and make sure we have enough volume in the archived sample to run the requested additional tests. Blank Now that I have my tube, how can we add on the new test orders that Dr. Hunter requested? Let me just clarify that in our lab for an add on test we add to the existing order, but your lab may proceed differently so make sure your use your labs own specifications. In our lab we updated the order in our LIS to download to our Atellica Solution to add on this new test. The Atellica Solution Sample Handler recognizes that the tube has new orders and so the tests will start to process when we put it on. Blank To check on the status of the orders, I go to the Worklist screen. Look you can see the order that was added. Now let’s move the next scenario that we recently had experience with in our lab. Scenario Two Additional tests that need to be added on to an order for a tube that is currently in the Sample Handler. Blank This next scenario is a little bit different than the one I just presented for add on tests from Dr. Hunter. We were recently working with another patient sample from another doctor’s office. The patient recently was in for her regular health screening and her lab work was sent into our lab. The patient had an unexpected trip to the emergency room, where she needed to have an x-ray, so for safety’s sake they wanted to have an HCG test done. Since the sample had just recently come into the lab it was still in our Sample Handler. Let me explain how we handled that. Blank I simply can go to the Worklist screen, since I know that this is a sample that was placed on the system within the hour, and I can add on the test here. To add the test, I select the order from the list and then select the Add Test to Order button. This icon I am showing indicates this sample is still onboard. Blank On the Order Details screen, I select Add Tests, select the tests I want to add, in this case ThCG, and then select Update Order. Tubes in an archive rack must be moved to an input rack prior to additional processing. Refer to attached sorting and archiving job aid Blank Back on the Worklist screen, you will see that the test now has been added and the sample is processing. That wasn’t that difficult right? Now, let’s move to our last scenario. Scenario Three Using the Atellica Data Manager to find an archived sample and run an add on test. This scenario is specific for labs running Atellica Data Manager Blank Finally, our last scenario is how we use the Atellica Data Manager, to find an archived sample and then do the add on test. Blank Shown here is the Atellica Data Manager in our lab. For those of you who are not familiar, Atellica Data Manager is a multi-system data manager for analyzers and lab automations systems (or LAS). Atellica Data Manager allows myself and others in my lab to have a consolidated view of data from our connected analyzers. Allowing us to review and manage results from multiple analyzers from a single location. Let me show you how we use it to find an archived sample and then add on a test. Blank To add on tests to the archived sample using our Atellica Data Manager, we navigate to the Order Entry screen. Blank From the Order Entry screen which I am showing here you would enter the sample ID, patient ID, and the Requests or in the case of this example the add on tests. Atellica Solution would then treat it like an add on to the existing order.
